Event Rules, Waivers & Samples

Rules:  Event rules are an important way to keep control of your event. If you do not set the rules, or expected behavior while participants are attending your event that can lead to mishaps or issues that can come back directly on to you being the event organizer, or host. The best practice is to have a set of written rules, and when possible, tie that into a waiver form requiring a signature and date so you have a written record for both the waiver and your rules were communicated. The sample included is our event rules for our weekly cruise night event that we have been hosting now for over 7 years. Make the rules clear so they can be understood, keep them short and to the point, and be clear on what you will or won't tolerate.

Waivers:  Event Waivers are another important piece you really should consider for your event. They can serve as a legal document that transfers the risk of participating from the event host, or event venue to the attendees. More and more venues are requiring an event waiver to be signed by those attending the event. Even if the venue requires a waiver, you should have one that covers those who have organized and are hosting the event. As I mentioned above, you can easily tie your waiver into your event rules and have both covered with one signature, and date.

By signing an event liability waiver, the attendee acknowledges they understand the risks and are waiving their right to sue if injured or experience damage through their participation. 

When hosting the same kind of event multiple times over the course of the event season you can create the waiver to cover the entire season as long as you have specified that within the content of the waiver and retain the signed waiver for the duration of the event season. Larger venues will have their lawyers create the waiver form, provide you with a copy so you can print and obtain signed waivers to be returned to the venue after your event.  There is a sample waiver from the venue where we host our weekly cruise night.
