
Event Registration, Placards & Samples
Registration: The key to the registration process is to keep the process simple, fast moving and capture only the right information for your event. When your event will collect entry fees the best practice is to collect the entry fee well before the participants fill out the registration forms. Collect their entry, have them go ahead and park and tell them to go to the registration area after parking. This will keep congestion to a minimum, and not bottle-neck traffic for the inbound lanes into the event area. Once you collect their money it really should not matter is they come to your event registration area and complete the registration forms. Some people will come to support the event and don't care about registering. It is just a good practice to keep entry fee money collection separate from the registration table. This helps the people working registration and makes registration faster due to not having to collect money and make change.
Depending on how your event is designed will determine what information you need to collect on the registration forms. Examples, club affiliations, if your event will offer awards then you may want to have awards for furthest distance traveled, vehicle entry number and voting class, etc.

Placards: Event placards, also referred to as windshield placards are filled out during the registration process and used by the participants to place on, or inside their vehicle windshield visible to other participants and spectators. At a minimum the placard should capture the vehicle owners name, city and state, year, make and model of the vehicle registered, and for voting will need the registration entry number and class the vehicle has been registered in. In addition, information like vehicle modifications and club affiliation may want to be recorded.
